General Responsibilities: Provides administrative support to executive director and other administrators, as required. Develops, implements, and monitors integral facility systems. Composes various vital and confidential reports, letters, correspondence, etc., and distributes same. Works closely and cooperatively with parents, stakeholders, vendors, all staff. Completes responsibilities with minimum supervision.

Specific Duties Include:

·       Responsible for confidential administrative support to Executive Director.

·       Assist with consumer records and data base such as attendance records, payroll records.

·       Process purchase orders and check requests to Accounts Payable.

·       Responsible for the distribution and/or posting of mail, notices, schedules, and other related materials.

·       Maintain inventory of supplies and forms as needed. Receive and audit shipments.

·       Develop and maintain an accurate and organized filing system for agency information.

·       Complete all required reports, photocopying, etc., in an accurate and timely manner. Typing includes but is not limited to memorandums, letters, reports, meeting minutes.

·       Receives and transfers incoming calls, places outgoing calls, takes and effectively records and distributes messages.

·       Coordinates IT support for agency network system with IT vendor, provides cursory maintenance of proprietary data bases systems (Vertex, QuickBooks, Microsoft Products).

·       Demonstrates awareness of and adherence to agency policies, procedures, and standards.

·       Presents self in a courteous, respectful, honest, and ethical manner towards all individuals with whom he/she interacts as a representative of the agency.

·       Consistently presents a professional demeanor in regard to both dress and behavior.

·       Attends ongoing in-service training as required.

·       Accepts supervision and gives appropriate feedback in a professional, courteous, and respectful manner.

·       Remains flexible in meeting the needs of individuals, programs, and the agency at large.

·       The above job responsibilities are basic to the position, other duties as assigned.

Job Requirements:

·       Min. HS / GED, appropriate college degree preferred in organizational support, management, communications, IT, business practices.

·       4+ years Administrative experience with demonstrated increase in responsibilities.

·       Knowledge of Microsoft office products and basic network operations
